End of the Semester

Routine Procedures:
 

  • Check in with your Liaison Officer (LO) weekly.

     

  • Attend every scheduled class. If you need to miss a class, contact you program manager for approval.

     

  • Wear the Air Force uniform on Thursday. Check with the AFROTC Detachment to see the UOD for that coming Thursday. The UOD is determined by the Cadet Wing and may be BDUs. If your duties require you to be in civilian clothes, wear them.

     

  • Check the AFIT box at the AFROTC detachment for correspondence every week.

     

  • Your LO can provisionally approve 3-day passes. If you are out of town overnight, you need to be on a pass or on leave.

     

  • Detachment CC approves passes and AFROTC processes leave requests. Check the FAQ for procedures.

     

  • Review the AFIT website for complete details on procedures.

     

  • You may be selected for a random weight check or drug testing. Expect one or the other every 12 months. Typically we have been doing an annual weigh-in during the fall semester.


End of the Semester:
 

  • Submit your grades to your program manager.

     

  • Register for classes for the next semester. If you don't need the credits, you can save the Air Force some money by not enrolling in the summer session -- just work on your research.

     

  • Update your education plan with your program manager.

     

  • Turn in your resident tuition waiver before the start of the next semester. This includes the summer session, if you are taking a class or need the credit hours. This MUST be accomplished EACH semester.

     

  • Plan on a AFIT/CI student meeting the first Thursday of the fall and spring semesters.


Inbound Students:

  • Arrival
     

    • Contact your sponsor. If you can't, contact the detachment Information Manger by email or call the number below.  Your sponsor can answer many questions about the local area and can help you with things such as looking for a home, setting up a new doctor, public schools for your kids or starting utilities.

     

    • Call the AFROTC Detachment at (217) 333-1927 to schedule an in-processing appointment. In-Processing at ROTC:

      • Bring copies of your orders.

      • Bring your personnel records (if you have them with you).

      • Fill out a travel voucher.

      • Fill out a Form 93.

      • Fill out a Duty Information letter.

      • Bring your medical and dental records. You will maintain these while you are here.

     

  • AFIT
     

    • Call your Program Manager (PM) with your phone number, address, and e-mail, or mail an arrival card to your PM. Once you have registered, send your PM your initial Education Plan (AFIT Form 18).

    • Report your grades every semester.

    • You automatically receive a book allowance of $240 per fiscal year. Keep your receipts. Ph.D. students only receive two years of this book money.

     

  • University
     

    • Take a copy of your orders to Jane Brock in room 125 of the Henry Administration Building. She will make sure the Air Force is billed for your tuition.

    • The Admissions and Records Office at 901 West Illinois Street (just East of Krannert Center) needs two or three forms for your records. Take the completed selective service form, the request for resident tuition waiver form (if you are not a resident of Illinois), and the statement of military service form to the registration services office. Blank forms are available in the AFIT box at AFROTC. You will have to do this prior to every semester you register at UIUC.

    • Get your ID card at the Union Bookstore.

    • Get net ID and password either at CCSO in the Digital Computer Lab or at Illini Union.

    • Talk to your advisor to select your classes (the time table is available at the library or on the internet at www.uiuc.edu)

    • Register for classes (computer/logon help available in basement of Digital Computer Lab).

    • Go to the Post Registration Service Center in the Illini Union, to cancel medical insurance once you receive your bill from the university.

     

  • Local Procedures
     

    • Check in with your LO weekly.

    • Wear uniforms on Thursdays.

    • Check the AFIT box at ROTC for correspondence every week.

    • The Detachment CC can approve 3-day passes.

    • Detachment CC approves and AFROTC processes leave requests.

    • Attendance is mandatory at all classes.

    • Get briefing from LO on how to get medical care.

     

  • Arranging for TMO
     

    • Once you've got a place to stay, call Scott AFB TMO at 1-800-851-7542, ext 256-1848 to schedule delivery.


Outbound Students:
 

  • AFIT
     

     

    • Keep your program manager advised of your expected program completion date (not your graduation date, see AFIT Instruction 36-105, para. 5.2).

    • Send your program manager:

      1. A copy of your PCS orders.

      2. Your final education plan.

      3. Your official transcripts (you can order them to be sent when they are ready).

      4. An unbound copy of your thesis or dissertation and abstract.

      5. Inputs for your final training report (see AFIT Instruction 36-105, Chapter 8).

      6. End-of-course critique, if required by your PM.

     

  • Scott AFB (800) 851-7542
     

    Note: You do not have to go to Scott to out-process!

    • Contact outbound assignments at 256-5909 to check on your orders. Ask them to fax you a copy to work with while you wait for the rest in the mail.

    • Contact the Transportation Management Office (TMO) about moving your household goods at 256-1849. Ask if they are giving a briefing here that you could go to. If not, you could go to one at Scott, or waive the briefing and arrange for your move without it.

    • Call military pay at 256-1851 and ask for an advance of your dislocation allowance. This is a tax-free payment equal to twice your monthly BAQ, to help defray moving costs. You would otherwise receive it when you file your travel voucher at your next duty station.

    • Call the Dental Clinic at 256-3321, or your local dentist, to have your dental records sent to your next duty location.

    • Collect your medical records, as appropriate.

     

  • Liaison Officer
     

    • Let the LO know when you will leave the local area.

    • Before you depart, give the LO a forwarding address and a copy of your orders.

     

  • University
     

    • Check with the university bursar's office, the library and your department to make sure you are cleared to go.

     

  • AFROTC Detachment
     

    • The AFROTC Detachment should clear you to leave.

    • Drop off a copy of your PCS orders with block 18 signed and your date and time of departure indicated.

    • Leave a forwarding address.

    • Check the mailbox one last time.
